ICS Research Procedures
Submitting Research Grant Applications
The following is the standard procedure to follow when submitting grant applications.
Individual schemes may vary and any variations will be clearly outlined in the Guidelines for each Scheme.
University Policy states that ALL external grant applications must be submitted via the Research Office. This is done through the ICS Research Administrator. No external grant applications are to be made directly to the funding body without the knowledge of the Research Office.
Advice about research grant applications is available from the ICS Research Administrator and from Departmental Research Directors/ICS Research Committee members.
1. Notification Grant Scheme is open
- Emailed notification that the Grant Scheme is open
- The email will provide information about deadlines:
- the ICS Divisional deadline
- the Macquarie University Research Office deadline
- for external schemes, the Granting body deadline.
- Links will be provided to Scheme information and the Application Form.
- Researchers planning to submit an application notify the Research Administrator and their Departmental Research Director of their intention to apply.
3. Enquiries to Research Administrator
- Enquiries regarding the Scheme should be directed to the Research Administrator, who will seek clarification from the Research Office where necessary.
4. Utilise support tools
- Checklists and other support tools are provided on the ICS Research website.
5. Collegial review process
- Collegial review is a critical part of the process which can significantly add value to the grant application.
- It is important that adequate time is allowed for this process.
- Departmental procedures must be followed to ensure adequate time is allowed for collegial review.
- Your Departmental Research Director can assist in this process.
6. Forms completed and signatures obtained
- All required forms must be completed.
- All applications require a completed Division of ICS Cover Sheet for all Research Grant Proposals ~ pdf fillable form
- In addition, the Research Office always requires one of the following completed Cover Sheets:
- All ARC schemes also require a completed ARC Certification proforma
- Refer to the Application forms for the specific scheme.
- All required signatures must be obtained:
- Head of Department signature
- verification of the collegial review process
- Resource implications must be clearly spelt out on the Division of ICS Cover Sheet for all Research Grant Proposals.
7. Submit by Divisional deadline
- All applications need to be submitted to the Research Administrator by the ICS Division deadline.
- Please notify the Research Administrator if you are unable to meet this deadline.
- Please ensure that all hard copies of your application are printed single sided
8. Feedback from Research Administrator
- The Research Administrator will check the completed application and depending upon the amount of time available, provide feedback on a range of matters:
- eligibility
- budget
- clarity of presentation
- structure.
- Clearly, the more time that is allowed for this process, the greater the attention to reviewing the application.
- Once the application is finalised, the Research Administrator will obtain the signature of the Dean of Division.
- The application is copied and the original is taken to the Research Office by the Research Administrator.
- In some cases, the researcher will subsequently need to liaise with the Research Office e.g. where electronic versions of the application are required, or where further revision is required by the Research Office.
