Procedure for Potential Supervisor
- Discuss the text of the advertisement with the HDRO Scholarships Officer to ensure compliance with MQ requirements. In all web and other advertisements, always encourage potential candidates to contact you before formally applying for candidature or scholarships.
- Assess informally the qualifications of potential student(s) and eligibility for scholarship. Note that scholarships require First Class Honours or Equivalent record.
- Ask the qualified and suitable student(s) to apply for postgraduate candidature and scholarship. If only one student is qualified and suitable for your project, ask only that student to apply.
- When you receive a candidature application from a qualified suitable student through your Departmental Director, complete it to accept the student as a postgraduate student, initial the application and return to the Director as soon as possible.
- For scholarships to which multiple applicants are expected, advise the ICS Postgraduate Research Administrator of a suitable cut-off date. All scholarship applications related to the same project (and that are complete) will be ranked simultaneously soon after this date. Late applicants may miss out.
- In case of scholarships with multiple applications, you
will be given the opportunity to rank the applications relative
to each other, before the ICS Committee ranks them in the
absolute scale.

HDRU Responsibilities
- Process the candidature and scholarship applications and send them to the Division for approval.
- Send candidature offers to successful students.
- Send scholarship offers to successful students.
- Inform ICS Postgraduate Research Administrator and the
Supervisor about scholarships offers sent out.

ICS Postgraduate Committee - Candidature and Scholarship Application for single applicant
- ICS Student Services Team records the application in the database and forwards it to the Supervisor.
- Supervisor Consults the Departmental Director the Supervisor completes the application form - offer section.
- Departmental Director approves/signs the admission and scholarship nomination and returns the application to the ICS Student Services Team
- ICS Student Services Team records the outcome
in the database and returns it to HDRO.

ICS Postgraduate Committee - Scholarship Application -multiple applications
- ICS Student Services Team records the application in the database.
- A ranking sub-committee is set up, and the application in ranked according to university guidelines in the absolute scale. When necessary, First Class Equivalence is determined.
- ICS Student Services Team records the outcome (including ranking level) in the database and return the application to HDRU.
- In cases where several applications are expected for the same scholarship , applications are collected till the cut-off date set by the Supervisor. Then all the applications (that are complete) are sent to the Supervisor for initial relative ranking. After that they are ranked in the absolute scale by the ICS Committee, like other applications. In case the Supervisor relative ranking does not agree with the Committee's absolute ranking, the Supervisor will be consulted.
