Steps in Progression

After enrolment, progression through your Higher Degree involves the following processes and reports:

  1. Central Commencement Program for Research Students
  2. ICS Commencement Program
  3. Commencement Program Report
    A report of completion of the above components, called the Commencement Program Report is forwarded to the Higher Degree Research Unit. The Candidature of the student is confirmed by the HDRU upon receiving this information. This report will include assessment outcomes of all activities, for example whether the student completed the activity satisfactorily, was waived from the activity, or was allowed to postpone it to a later offering.
  4. Higher Degree Candidate's Annual Progress Report
    The Annual Report is an official report on a student's research progress. Students will be given feedback on their progress, i.e. a copy of the report with the decisions, comments and resulting recommendations. All students enrolled are to complete an Annual Report, including those on approved leave.
  5. Departmental Review
    The progress of all ICS postgraduate students (except those who started very close to the review date) is reviewed annually, around June, by a process that includes:
    • the student's self-assessment (on a form provided)
    • a presentation to the Department (except Physics)
    • an interview with a Department Panel
    • a Postgraduate Progress Interview Record.
    The report of the Department Review Panel, that includes the decision and recommendations, will be kept in the student file in the Division. Forms and detailed procedures vary by Department.
  6. Show Cause
    Failure to submit an Annual Report on time will result in the student having to show cause and scholarship holders may have their award terminated.
  7. Thesis submission: relevant forms are available from the HDRU page on Thesis Examination. There are three steps in thesis submission:
    1. Appointment of Examiners and completion of Nomination Form (to be filled out by supervisor and submitted to the Dean three to four months prior to thesis submission).
    2. Submission of HDR thesis:
      • Prepare three copies in the format prescribed by HDRU.
      • Fill out the thesis submission form and book an appointment for you and your main supervisor to speak to the Dean (please contact Linda Kerr on ext 9500 to make an appointment). The Dean will sign your form.
    3. Examiners assess your thesis and forward their recommendations to HDRU. This assessment may take three months. Once this step is complete, one of two things will happen:
      • You will be asked to make changes to your thesis and submit corrections to HDRU or
      • You will be awarded your degree.

Leave of Absence / Change of Program

In some cases a student may request Leave of Absence. For addition or changes of supervisor, thesis topic, mode of attendance a student must lodge a Change of Program Form. For guidelines and forms please visit HDRU Forms.
